Edit an instance field descriptions
Field Description
Description

The description of the instance.

You can change the description. The description is for your use only and is not used elsewhere in Sage Intacct.

Automatic login

Displays the bilateral relationship between this console and the instance company. The following options are:

  • Enabled. You can access this instance company.

  • Disabled. You cannot access this instance company.

The company controls your external access to its instance. If a company disabled your access to its instance, contact the company and request that your access is enabled.

Instance type

Displays the Instance type. The following instance types are:

  • Full accounting: Indicates an instance.

  • Shared entity: Indicates the corresponding multi-entity shared instance.

  • Enterprise: Indicates an enterprise.

  • Root console: Indicates the console that you are logged into.

Company ID The identification of the instance.
Company name The name of the instance.
Status

Displays the status of the instance. The following options are:

  • Active. The instance is available to access and use.

  • Inactive. The instance is unavailable to access and use.

Instance company type

Displays the Instance company type. The following tenant types are:

  • Sales demo: Long-term use demo companies, often created for specific industries. Create sales demo companies with your own data. Or submit a support case to create a copy of an existing sales demo company. A best practice is to cancel sales demo companies that you no longer use. This type of tenant does not expire, and there is no charge.
  • Production: A paid tenant under contract that contains live, operational data used by an Intacct customer. A production company cannot become a demo company.
Accountant's Footer

This footer appears on instance financial reports if the bilateral relationship remains linked. An example of an Accountant's footer is "For Internal Management Use Only."

  • Your accounting firm can only create and change the Accountant's Footer.

  • Instances cannot change or remove the Accountant's Footer.

  • The Accountant's Footer helps your firm comply with the accounting profession's "SSARS 8" requirements, if appropriate for an instance.

The following explains how the Accountant's Footer appears:

  • The footer appears even if the instance enters their own footer text on the Financial Report Writer.

  • The footer appears below any standard report footers that you or your instance create for financial reports.

  • The footer appears on HTML text and PDF report formats, but not the CSV format.

The instance creates A Page footer using the Financial Report Writer. You create the Accountant's Footer at the console level.

400 characters are allowed in both the Accountant's footer and the Financial Report page footer. However, they can print and view a combined total of 600 characters. The number of characters in the financial report footer takes priority.

For both, all characters are saved with the report. If the total of the two exceeds 600 characters, the number of characters is shortened when the report is printed or viewed. When a financial report footer uses 380 characters in the Footer text field, the Accountant's Footer can print only 220 characters.

Set up from a template

The Setup from a template field only appears if there are no GL accounts, departments, locations, suppliers, customers, or inventory items in this company.

After you select a new template and select Save, this field disappears.

You can also apply a new template to an existing instance company by deleting all the data and removing the old template. To apply a template to a company that has a template or data, see Apply a new template to an existing company.

For example, you want all the companies to have a single chart of accounts. The instance companies exist, but you are currently creating custom templates. After you create a custom template with a developed chart of accounts, you can apply that template to the companies.
