My stored reports

The My stored reports page offers a list of reports that have been stored in Intacct. You can sort and filter the list to see just the reports you need at any given time.

You can store reports in the following ways:

  • Scheduling reports: When you schedule a report to be run periodically (such as weekly), you have the option to store the report in Intacct.
  • Processing and storing reports: While working with a report, you can process it in the background and store it in Intacct. This option is particularly useful for reports with extensive amounts of data. These reports are typically too large for the system to run in real time. You might also use this feature to automatically take periodic snapshots of a report for future analysis and reference.
The data in these reports is current as of the date on which the report is run and does not include any changes subsequent. However, if you drill down through the report to other pages, you are accessing the actual data.

View a list of stored reports

After the system runs the report on the run date you selected, it's available in the Stored reports list of the application in which you processed the offline report. or in Reports center.

You can access a list of your stored reports in the following ways:

The My stored reports list saves this version of the report so you can access it any time.
If a report is in cloud storage, open the My stored reports list and roll over the Cloud link to see where the report is stored. Reports stored in Intacct are stored internally, just like other reports.

View a stored report

The My stored reports page enables you to view reports, print them as a PDF, open an Excel version, download a CSV file, or view a text-only version.

  1. Go to the My stored reports list and verify the Run date and time for the report.
    Verifying the date that you want helps you avoid missing data. For example, if you scheduled the report to run 2 weeks ago, you would be missing the last 2 weeks of data.
  2. Select a report format: HTML, Printable, CSV, Excel or Text.
  3. Select Create Offline (if you have not yet processed this report offline), or Open (if you previously created an offline report).
You can set your preferences to receive an email when your report has been processed and is ready for you to view.

Add a stored report to a dashboard

You add a stored report to a dashboard the same way you add any report, from the dashboard itself. For more information, see Add a report to a dashboard step-by-step instructions.

Delete a stored report

Your reports remain stored until they are manually deleted.

  1. Go to the My stored reports list.
  2. Find the report you wan removed and select Delete.
  3. Select OK to confirm the deletion.

Stop a scheduled report

You can easily change when and how often a scheduled report is delivered. Or to keep the scheduled report, but stop its delivery, you can set the recurrence of the report to "None."

How to edit or end a report schedule

  1. Go to the Reports center or application menu and find the scheduled report.
  2. Hover over the row containing the scheduled report to view editing options.
  3. Select Schedule > Edit schedule and do one of the following:
    • Set a different schedule in the Schedule section.

      When you edit a report schedule, it's regenerated from the start date. Therefore, enter a new start date when you change the schedule.
    • Stop delivery by changing Ends to After a number of occurrences, then set End After to 1 and set Recurrence to None.
  4. Save the report.
