Permissions tab—Financial Report Writer
The Permissions tab identifies the report owner and specifies who can and cannot access this report. Users without access to a report do not see it in the Financial Reports list, Reports center, or dashboards.
Grant or deny access to reports
Depending on how your General Ledger was set up, the default permissions to financial reports can either grant or deny access to all users: the group called Group/Everyone. For example, suppose that the default access privileges for financial reports are set up to deny access. You can selectively give access to users or user groups by adding them to the Access list.
When a user or group is added to the Access list, even though the Exclusion list is set to Group/Everyone, the access list takes precedence. Any user or group specifically included in the Access list is granted access to the report.
If access is granted to Group/Everyone but 1 user is added to the Exclusion list, even if that user is part of a group given access, that user cannot access the report even though the group was granted access.
To set the report owner and permissions:
- If necessary, select the person who is responsible for the report as Report owner.
By default, the person who creates the report is the report owner. If the report will be maintained by someone else, you can select that user from the list.
- Set permissions for the report by reviewing the Access list and Exclusion list.
- To add a user or user group to either list, select Add.
- To remove a user or user group from either list, select the user or group and select Remove. To ensure that someone can always access the report, the admin can’t be excluded.
Select default permissions for financial reports
A preference in the General Ledger determines whether financial reports are available to everyone by default.
- Go to General Ledger > Setup > Configuration.
- Scroll down to the Financial reports section and locate the option to Set default permissions to public.
What other permissions do users need to access this report?
To access this report, users must also have permissions to financial reports in general.
- In Subscriptions, display the permissions for General Ledger.
- Next to Financials, give the user permissions to list, view, add, edit, or delete financial reports, as needed.
- To allow users to drill down into transactions from this report, make sure that you've also given them permissions to "Drill down to all transactions from reports."
