Field descriptions: Fill out timesheets

This table describes the fields when creating a timesheet.

Timesheet info section

Field Description

Employee

Only available to project managers or supervisors who can fill out other people's timesheets.

Begin date

The begin date of the timesheet.

Timesheet dates adjust to match the start of the week.

End date

Populates automatically based on the Begin date entered here and Reporting period set up within the Company application.

GL post date

Defaults to the timesheet End date.

If the End date falls within a closed GL period, the GL post date automatically defaults to the first day of the next open GL period.

In Staff timesheets, this field is editable only if the period is closed. You can then edit the GL post date to any open GL period.

If your company uses split periods and the timesheet period's begin and end dates are both within a closed GL period, the GL post date field defaults to the first day of the next open period.

Description

The description of the timesheet.

Maximum 400 characters.

Attachment

Unique name to make it easy to find the attachment you want.

Time entries section

Field Description

Project

The project associated with the employee.

Task

The task associated with the employee.

If you've associated the dimension Class with tasks, and set a class alias for this task, Class is automatically defaulted when you enter the task name here.

Cost type

Available with Construction enabled

Select a cost type associated with the timesheet entry.

Cost types simplify the process of capturing and categorizing project cost detail at the cost and estimate level.

Time type

Select a time type to categorize the time.

Each company's time types can differ, but might include salary, contract hours, overtime, vacation, travel time, and so on.

Employee position

Available with Construction enabled

Select an employee position associated with the timesheet entry.

This ensures that project contract billing accurately reflects the bill rate and markup for their entries. For more information, go to Add user-defined timesheet entries.

Labor class

Available with Construction enabled

Select a labor class associated with the timesheet entry.

This ensures that project contract billing accurately reflects the bill rate and markup for their entries. For more information, go to Add user-defined timesheet entries.

Labor shift

Available with Construction enabled

Select a labor shift associated with the timesheet entry.

This ensures that project contract billing accurately reflects the bill rate and markup for their entries. For more information, go to Add user-defined timesheet entries.

Labor union

Available with Construction enabled

Select a labor union associated with the timesheet entry.

This ensures that project contract billing accurately reflects the bill rate and markup for their entries. For more information, go to Add user-defined timesheet entries.

Billable

Select to bill this line item to the client.

Department

Select a department that the employee works in, if applicable.

The department populates automatically based on the employee record or project. You can override the choices.

Location

Select a location where the employee works, if applicable.

The location populates automatically based on the employee record or project. You can override the choices.

Hours field for each day

Enter the number of hours worked on each day.

You can specify up to six characters, numbers only. This will produce an error if your company has set minimum or maximum hour limits and you record hours outside of those limits.

Double-clicking the number of hours brings up another page where you can enter a description of the time, and associate the time with a particular supplier or class.

Field Description

Draft & continue

Displays the following options:

  • Draft: Select to save the timesheet as a draft.

  • Draft & continue: Select to save and continue working on the timesheet.

  • Draft & new: Select to save the timesheet and create a new one.

Submit

Select to submit the timesheet for approval.

Cancel

Select to cancel the timesheet.

More actions

Displays the following option:

  • Table size: Select to modify the Time entries table size.

Plus icon (+)

Select to add a timesheet entry.

Trash icon ("")

Select to remove a timesheet entry.
