Create the document numbering sequence

After it’s enabled, this feature cannot be turned off. Make sure that you have a legal requirement to use accounting sequences before you enable them.

Create the actual numbering sequence using document numbering. Be sure to create as many as you need to meet your business requirements. Create 1 sequence for each journal in each entity.

If you're working in a multi-entity company, make sure you're either in the correct entity or at the top level.

  • You cannot assign a document sequence created at the entity level to an accounting sequence created at the top level.

  • You cannot assign a document sequence created in one entity to an accounting sequence created in another entity.

There's no validation to prevent someone from deleting the document sequence after transactions are posted that use the sequence. Be sure to review permissions to document numbering if necessary.
The document sequences that you set up for accounting sequences should be used only for the journals using the accounting sequence.

Using these document sequences for other journals can cause the accounting sequence numbering to be non-sequential, which violates the accounting sequence numbering rules.

  1. At the top level, go to Company > Setup > Settings and select Add (circle) next to Document sequences.

  2. Enter the required fields, and any other information that you want to include in your sequence.

    The required fields are:

    • Sequence ID

      Cannot be changed after save.

    • Sequence name

    • Sequence status

    • Sequence type

      Cannot be changed after save.

    • Primary sequence

      Cannot be changed after save.

    • Next primary sequence

      Automatically generated, but can be edited.

  3. Select Save.

Consistent document sequence numbering is crucial. Set up your sequences and avoid changing them to maintain regulatory and legal compliance and sequential order.

After you post transactions to a journal with accounting sequences enabled, we do not recommend editing the document sequence numbering in any way.

Enable fiscal year rollover

If your region's regulatory or legal compliance rules require accounting sequences that include the transaction date, you can set up a fiscal year rollover. This feature is available for General Ledger journals.

Fiscal year rollover for document sequences helps you manage your alpha and numeric sequences with easy year-end transitions, improved organization, and enhanced transaction matching.

Fiscal year rollover is only available for use with Contracts, Fixed Assets Management, and General Ledger at this time. Much like an alpha sequence, your Intacct application must be configured to use a fiscal year rollover document sequence.

  1. Go to Company > Setup > Settings and select Add (circle) next to Document sequences.

    Create a new sequence and start using it at the beginning of the next fiscal year. Avoid changing a sequence in the middle of the year.

  2. Enter a Sequence ID.

    Use a name that describes the purpose of the sequence and the journal that will use it.

    For example, enter GJ-general-seq for a sequence created for the General Ledger General journal.

  3. Enter the remaining required fields and any other information that you want to include in your document sequence.

  4. Select the Enable sequence fiscal year rollover checkbox.

    You can use fiscal year rollover with both numeric and alpha sequences.

    When selected, the fiscal year end for your company is displayed, in addition to the day the rollover was enabled for this sequence.

  5. Select how you want the fiscal year to be appended to your document sequence:

    • None: When selected, the fiscal year will not appear in your document sequence.

    • Prefix: When selected, the fiscal year is added as the Rollover prefix to your document sequence, followed by an editable Separator field.

    • Suffix: When selected, the fiscal year is added as the Rollover suffix to your document sequence, preceded by an editable Separator field.

  6. Enter the format for the sequence.

    In addition to the rollover prefix or suffix, you can add an additional prefix and suffix.

    To make it easy to set up the accounting sequence and identify transactions, use the following conventions:

    • A Prefix with the name or ID of the journal that the numbering system is used for.
    • A Suffix to indicate the entity in which the transaction was created, which is useful when viewing transactions from the top level.
  7. Select Save.

When fiscal year rollover is enable, the next 10 years of document sequences with corresponding fiscal years are displayed. The year field is not editable.
