Track statistical data overview

Statistical accounts are used to track nonfinancial data, such as:

  • Employee headcount
  • Number of contracts
  • Number of hotel rooms, hospital beds, or apartment units
  • Square footage

This topic describes how to set up Sage Intacct to capture statistical data. After you've set up accounts, journals, and account groups for your statistical data, you can:

  • Enter transactions that track your statistical data, such as the number of employees by location and department.
  • Report on your statistical data; for example, creating financial reports that show the headcount per location by quarter.
  • Create calculations that highlight important metrics, such as revenue per employee.

Prerequisites

Permissions in the General Ledger are required to set up and use statistical accounts.

Set up to track statistical data

There are 3 basic steps to set up for tracking statistical data.

  1. Create statistical accounts
  2. Create statistical journals
  3. Create statistical account groups

Accounts

Add a statistical account for each type of nonfinancial data that you want to track. You can add as many statistical accounts as you need.

For example, suppose that you want to track financial data (such as revenue and expenses) per employee or even per contract. To do this, add 2 statistical accounts:

  • Headcount
  • Contracts
  1. Go to General Ledger > All > Accounts and select Add (circle) beside Statistical accounts.
  2. Follow the instructions in Statistical accounts.

Journals

You can create 1 journal for posting all statistical entries, or create a separate journal for each statistical account. For example, you might create a journal for Headcount and a separate journal for Contracts. Alternatively, you might create a single journal called Statistics and post all entries there.

  1. Go to General LedgerSetup and select Add (circle) next to Statistical.
  2. Follow the instructions in Statistical journals.

Groups

Accounts must be rolled up into account groups before you can display them on financial reports or use them for performance cards on dashboards. If you're new to account groups, review our introduction to account groups.

  1. Go to General Ledger > All > Financial report structures. Select Add (circle) beside Account groups.
  2. For the Structure type, select Statistical accounts.

Enter statistical data

You enter statistical transactions in the same way that you enter GL transactions. The only difference is that statistical transactions don’t need to balance. Instead, you increase or decrease a value.

For example, you might increase the number of employees in the month of June because you hired two more. In this case, you would use the Employees statistical account and the journal you created for employees.

Use dimension count to automate tracking statistical data

Dimension count rules automatically post a journal transaction and update the count to a statistical journal based on the dimension groups you specify, anytime you create a dimension member record, such as customer or item, that matches the rule.
