Instance Setup Wizard—Consoles
Console users with relevant permissions can create instances with the Setup wizard.

Go to My practice or Console and select the + sign beside Instances.
The Setup wizard appears.

Complete the fields on each tab.
When you complete the fields on a tab, select Next or select the next tab in the header sequence.
To change fields on a tab that you completed, select Previous or select the tab in the header sequence.
Login tabLogin tab field descriptions Field Description Instance company type Instance company type defines the intended use, life cycle, service levels, privileges, and restrictions of a specific tenant. A tenant is a discreet, provisioned instance of Intacct.
Service level commitments and SAS 70 Audit controls are different for each tenant type. For example, a production company gets higher priority support than a sales demo company.
Accountant console users can create the following tenant types:
- Sales demo: Long-term use demo companies, often created for specific industries. Create sales demo companies with your own data. Or submit a support case to create a copy of an existing sales demo company. A best practice is to cancel sales demo companies that you no longer use. This type of tenant does not expire, and there is no charge.
- Production: A paid tenant under contract that contains live, operational data used by an Intacct customer. A production company cannot become a sales demo company.
Partner console users can create sales demo companies. Intacct creates production companies for Partner console users when there is a valid contract and an order placed for the customer.
Management console users can create production companies.
Instance company ID
The ID of the instance.
The ID is case-sensitive. The maximum length is 40 characters. Users use this ID to login to Intacct.
Best practice is to make the company ID something easy so that users can remember and use it.
For example, the company name is Northwestern Metal Fabrication Corporation. Users might not want to enter this name as the company ID each time they login to Intacct. You could use NMFC as the company ID.As you complete the Setup wizard process, you set the Company name in the Company tab. The company name appears on out-going documents and reports.
The company ID must be unique throughout Intacct, not just your console. If the ID that you want already exists, Intacct displays an error message. Enter a new ID.
After you create the instance, you cannot change the company ID.
Entity ID This ID uniquely identifies an entity in a multi-entity company.
Create a unique ID for the operating entity, or create entities after the company is set up.
Entity IDs are permanent and cannot change.Entity name The name of the entity.
Description The description of the instance.
Instance administrator ID
The administrator user ID for this instance.
Begin with a letter or number and use only letters (A-Z, a-z), numbers (0-9), the underscore (_), and spaces. This name is case-sensitive.
Instance administrator password
The Instance administrator password that is at least eight characters.
Use at least one upper-case letter (A-Z), one lower-case letter (a-z), one number (0-9), and one special character.
Confirm password
The administrator password again.
Allow me to slide in to this company
If you select the box, you can slide in to this instance.
To slide in to the company, you access the instance through the console.
Contact first name
First name of the person in charge of financial data in this instance.
Intacct sends out important communications about feature releases and updates to the contact. The default contact is the instance's Main contact from the Company information page. You can change this contact in the instance.
Contact last name
Last name of the person in charge of financial data in this instance.
Contact email
Email address of the main financial contact in the instance.
You can change this email address in the instance.
Contact phone
The phone number of the main financial contact in the instance.
My admin privileges in this company
Your administrator privileges in this company.
The following options are:
- Off: No administrator privileges.
- Limited: Has complete administrator privileges, except the ability to create Full administrators.
- Full: Has complete administrator privileges with the ability to create Full administrators.
Grant slide-in access to others
Select console users to assign slide-in access.
If you grant slide-in access to many users, a best practice is to delay granting slide-in access until you edit the CPAUser permissions. Go to External user permissions for more information.
Template tabTemplate tab field descriptions Field Description Create new company from A template to create the new company from.
The following options are:
- Custom template: Base your new company on the configuration and account structure of an existing instance. For example, if your instances include small retailers, and you have a company type created, use that setup for similar
new instances.
If you select this option, then select a template from the dropdown. - QuickStart template: Create a company with the most common options already configured, such as account groups, financial reports, graphs, and dashboards. You still need to upload records, such as COA, suppliers, and customers, and configure applications.
If you select this option, then select a QuickStart template from the dropdown. - Blank template: Create your company from scratch with only your Intacct applications and company information. You configure each application and upload records (such as suppliers, customers, and accounts), transactions (such as AP supplier invoices, AR sales invoices, and expenses), and processes (such as AP supplier invoice or expense approval workflows).
Company tabCompany tab field descriptions Field Description Instance company name
Company name of the instance.
The company name that Intacct uses on out-going documents and emails.
Address line 1
The company address that Intacct uses on out-going documents and emails.
Address line 2
The company second address line that Intacct uses on out-going documents and emails. Typically used for suite, unit, or floor numbers.
City
The city that the company resides in and that Intacct uses on out-going documents and emails.
Country
The country that the company resides in and that Intacct uses on out-going documents and emails.
State
The state that the company resides in and that Intacct uses on out-going documents and emails.
Required for United States.
State or territory (for other countries)
The state or territory that the company resides in.
If Country is not set to United States, enter a state or territory associated with the selected country.
Postal code
The ZIP or post code that Intacct uses on out-going documents and emails.
Currency
The primary or accounting currency of the company.
Time zone
The time zone that the company resides in.
Accounting periods

Standard: 12 monthly periods that begin on the first day of the month and end on the last day of the month.

Custom: Non-standard periods that an administrator defines.
For example, 13 four-week periods.
First fiscal month
The month that your fiscal year starts.
If your company uses custom accounting periods, this field does not apply.
Reporting method

Accrual basis: Enables an accrual reporting method. Accrual is the default reporting method. You can change the default on the Company information page.

Cash basis: Enables a cash reporting method.

First tax month
The month that your annual tax reporting starts.
If your company uses custom accounting periods, this field does not apply.
Federal ID
The company's corporate federal ID number.
Intacct uses this number when generating tax-related forms, such as Form 1099 and Form 1096.
Account no. length, Account separator character, and Subaccount no. length

Specify the Account no. length: the number of digits for your account numbers.
Accounts must be a minimum of 4 digits and a maximum of 24 digits including any subaccounts and separators.
After you create your first GL account, the account no. length cannot be changed. Only when Clear all company data is selected, then can the account no. length be changed. -
Specify the Account separator character: the character that separates your primary account number from subaccount numbers.
For example, if you want your account numbers to appear as 1234-12, enter a dash. When creating an account with a subaccount, each box in the subaccount field is a separate subaccount.

Specify the Subaccount no. length: the number of digits for subaccount numbers.
Subaccount numbers can be a maximum of 9 digits, excluding the account separator character.
For example, a 4-digit primary account with a 3-digit subaccount with dashes as separators would look similar to 1234-100. The total number of characters used is 8, and you get 5 subaccount boxes of 3 characters each.

After you complete the tabs, select Done.
Your new instance appears on the Manage instances page.
