Account titles by entity

This list supports the enhanced lists interface. Learn more about using enhanced lists.

In a multi-entity shared company, accounts created at the top level can be shared across multiple entities. For each shared account, you can specify a unique account label for one or more entities, based on their native language or any other entity-specific option.

For example, you set up a General Ledger account 1015 with a standard description of "Shared bank." To make the account label clear to users in your Spanish-speaking entities, you can change the account label in those entities to "Banco compartido." For users in your French-speaking entity, you can change the account label for that same account in the French entity to "Banque partagée."

Here's another example: You set up General Ledger account 1000 with a standard description of "Cash". However, you want the entity-specific description for this account to reflect the name of a bank or other entity-specific attribute. You can override the standard description with an entity-specific description, such as "1000--Wells Fargo Current" or "1000--Bank of America Operating."

On the Account title by entity page, you're working only with the titles of GL accounts—not the actual accounts. To modify the actual accounts, go to General Ledger > All > Accounts.

To access this page, go to General Ledger > Setup > More, then select Add (circle) next to Account title by entity.

Create an account label by entity from the top level

  1. Go to General Ledger > Setup > More > Account title by entity.
  2. Select Create. The Account label by entity page appears.
  3. Select the Entity ID.
  4. Select the Account number.
  5. In the Account label for entity field, enter the entity-specific label that you want to give the account.
  6. Select Save.

By default, the label uses the default you provided at the top level, but each entity for which you gave an entity title will see that entity-specific label.

Create an account label by entity from within the entity

  1. Log or slide into the entity whose labels you want to change.
  2. Go to General Ledger > Setup > More > Account titles by entity.
  3. Select Create.

    The Account label by entity page appears, and the entity you are in appears in the Entity ID field.

  4. Select the Account Number.
  5. In the Account label for entity field, enter the entity-specific label you want to give the account.
  6. Select Save.

By default, the label uses the default from the top level. But when you're in each entity for which you gave an entity-specific title, you'll see that entity-specific label.

View a list of account label by entity

Go to General Ledger > Setup > More and select Account title by entity. The Account titles by entity page opens and lists your accounts.

Edit account title by entity information

Edit information about entity-specific account titles from the Account title by entity page.

  1. Go to General Ledger > Setup > More > Account titles by entity.
  2. Find the account that you want to edit.
  3. Select Edit at the end of the row.

  4. Enter changes as needed.
  5. Select Save to save the account and display the list of accounts.

Import entity account titles

  1. On the Account Titles by Entity list, select Import.

    The Import Company Information dialog box appears.

  2. Select Browse to find the file that you want to import.

    The file you import must be in CSV format.

  3. Select the import file.
  4. If you want Intacct to generate and store these records offline while you continue to work, select the Process & Store checkbox.
  5. To be notified by email if errors occur in the import process, type your email address.
  6. Select Import.

Field descriptions

The following tables describe each field on the Account Title by Entity list and the Account Title by Entity page:

Account label by entity list

Item Note

Account number

Sort the list by account number. In addition, you can select the link in this column to display the General Ledger detail for that account. For multi-entity companies, before you can drill down into an account and see the account balance, you must first select the entity from the Entity drop-down list in the top-right corner of your page.

Default title

Sort the list by the default account title (from the top level).

Account title for entity

Sort the list by the account title for the specific entity.

Entity ID

Sort by the entity ID. The entity ID uniquely identifies the entity and cannot be changed.

Entity name

Sort by the entity name. This is the full name of the entity.

Select the account number.

Account title for entity

Enter the name of the account for this specific entity.
