View a resource schedule

A Resource Schedule lists all the events that affect availability, in date descending order, including holidays and out-of-office events. Duration fields don't calculate total out-of-office time for a holiday or out-of-office record. It just shows the number of hours per day. The schedule also shows periods of time when an employee is booked on tasks for a project, and any time periods when they’ll be out of the office. For times when the employee is booked on a task, the list includes the project and task, along with details about the duration and hours.

Go to Projects > All > Project & resource mgmt > My schedule.

When you're assigning resources to a project or task, it can be helpful to check an employee's schedule to see what they’re currently assigned to, along with any times they’ll be out-of-office.

Display resource schedules from projects:

  1. Edit the project and then select the Resources and billing tab.

    The grid on the tab displays any resources that have already been assigned to the task or added to the project and can contain additional pricing information.

  2. If the employee hasn't already been added as a resource, add the employee by performing a resource search, or by choosing the employee from a dropdown menu on the main tab.
  3. In the Employee column, select the Name field for the employee.
  4. In the Task Resources column, select the Name field for the employee.
  5. Select the Schedule icon.

Can I view task assignments without a start date?

By default, the schedule for an employee shows assigned tasks only if they’re actually scheduled; in other words, only those tasks that have a Start Date.

To view all assigned tasks, regardless of whether the dates are specified:

  • Select the Show unscheduled option at the top of the Resource Schedule list.

How do I track schedules in a multi-entity environment?

If you have resources that perform tasks for more than one entity, you'll need to view the resource's schedule from the top level of your company in order to see all assigned tasks. If you view a resource schedule from within an entity, you'll see tasks only for projects that were created for that entity.

To view an employee's complete schedule, across all entities:

  1. Go to the top level of your company.

    Don’t slide into an entity.

  2. Display the resource schedule.
    • To display the schedule from the Employees list, click the Include private option at the top of the Employees list to show employees from entities. Then, click the Schedule link for the employee.
    • To display the schedule from a project or task, click the Include private option at the top of the Projects or Tasks list. Then, edit the project or task and display the resource schedule.
