Edit revenue recognition schedules—AR or Order Entry

A revenue recognition schedule shows which periods of deferred revenue have been posted, which periods have yet to be posted, and when each posting is scheduled for a transaction. The revenue recognition schedule displays a row containing the definition of what will be a revenue recognition journal entry for each period in the recognition term. For example, if there are 12 months in the revenue recognition term, then the revenue recognition schedule displays 12 rows.

You can only edit open revenue recognition. See Clear revenue recognition if you want to clear a posted revenue recognition entry.

Edit scheduled posting dates

Intacct determines default scheduled posting dates based on the revenue template's recognition method. You can change the default scheduled posting date for unposted revenue to better align with your revenue recognition process as applicable. For future viewing, make sure that the date sequences are in ascending order (earliest to most recent) when you save the schedule.

Note the following regarding editing scheduled posting dates:

  • If you change the scheduled posting date to a date that is in the past, Intacct will ask if you want to post the past revenue now when you save the schedule.
  • If the revenue schedule is based on the Straight line recognition method, Intacct can automatically reallocate the schedule based on new dates. See Reallocate a revenue recognition schedule for more information.

  • For project revenue recognition:
    • You cannot edit the scheduled posting dates for schedules based on project or task Observed percent complete. If you want to change the scheduled posting date for this type of revenue, change the As of date in the Observed percent completed table for the applicable percentage of completion for the applicable project or task.     • Use a date that is outside the range of any previously posted records. For example, if you posted revenue recognition on March 31 and April 30, enter a date of March 30 or earlier, or a date of May 1 or later.

      For revenue recognition templates based on either Budgeted cost from summary or Budgeted cost from GL, you can only enter a date prior to the previously posted record. In the above example, you could enter March 30 or earlier.

    • The best practice is to post the updated project revenue recognition immediately. If you do not post immediately, the source data (such as the approval of a timesheet) might change the revenue amount associated with the changed posting date before you post it.

To edit a revenue recognition schedule:

  1. In the Revenue Recognition Schedule window, select Edit.
  2. To change the posting date, select in the Posting date column next to the desired entry and either enter a new date or use the calendar tool to select a date.
  3. Select Save.

    A Confirm Change dialog box appears.

  4. Optionally, enter any information regarding the change in the Memo field.
  5. Select Save.

    If none of the scheduled journal entries have a posting date in the past, Intacct saves the schedule.

    If one or more scheduled journal entries has a posting date that has past, a dialog box prompts you to indicate whether you want to post those entries now. Do one of the following:

    • Select Yes to post the journal entries now.
    • Select No to leave the revenue schedule entries Open.

Edit scheduled amounts

You can change the scheduled revenue recognition amount for rows on the revenue recognition schedule that have not been posted. If you change the amount for a row, ensure that the sum of the scheduled amounts equals the total schedule amount.

You cannot change scheduled revenue amounts for project recognition. However, you can change the source data on which the associated revenue recognition template is based. For example, you can change the project's Observed percent complete field or edit timesheet hours.

To change the amounts for a revenue recognition schedule:

  1. In the Revenue Recognition Schedule window, select Edit.
  2. Select in the Txn amount column next to the desired entry, enter the desired amount, and then do one of the following:
    • Change the Txn Amount field for additional entries until the sum of the entries equals the Scheduled amount.
    • Add one or more rows to the schedule so that the sum of the entries equals the Scheduled amount.
  3. Select Save. If the amounts of the scheduled revenue recognition does not equal the Scheduled amount, a red error message appears at the top of the page. Fix the applicable amounts and select Save again.

    A Confirm Change dialog box appears.

  4. Optionally, enter any information regarding the change in the Memo field.
  5. Select Save.

    If none of the scheduled journal entries have a posting date in the past, the system saves the schedule.

    If one or more scheduled journal entries has a posting date that has past, a dialog box prompts you to indicate whether you want to post those entries now. Do one of the following:

    • Select Yes to post the journal entries now.
    • Select No to leave the journal entries Open.

Add a row to the revenue recognition schedule

You can add one or more rows to the revenue recognition schedule if desired. Ensure that the sum of the scheduled revenue recognition equals the total amount scheduled.

You cannot add rows to revenue recognition schedules based on projects or tasks.
  1. In the Revenue Recognition Schedule window, select Edit.

    A plus sign and trash can icon appear at the end of each Open row.

  2. Select the plus sign in the row above which you want the new row to be inserted. For example, if you want the new row to be inserted at the end of the schedule, select the plus sign next to the last row.

    A new row appears.

  3. Enter the posting date, select the applicable account, and enter the amount to be posted in the applicable fields.
  4. Adjust the remaining rows so that the sum of the Txn amounts equals the total amount scheduled.
  5. Select Save

    A Confirm Change dialog box appears.

  6. Optionally, enter any associated information in the Memo field.
  7. Select Save.

Delete a row from the revenue recognition schedule

You can only delete Open rows from the revenue recognition schedule. See Clear revenue recognition for information on how to remove a posted revenue recognition journal entry.

You cannot delete rows from revenue recognition schedules based on projects or tasks.
  1. In the Revenue Recognition Schedule window, select Edit.

    A plus sign and trash can icon appear at the end of each Open row.

  2. Select the trash can icon in the row that you want to delete.

    The row is deleted.

  3. Adjust the remaining rows so that the sum of the Txn amounts equals the total amount scheduled.
  4. Select Save

    A Confirm Change dialog box appears.

  5. Optionally, type any associated information in the Memo field.
  6. Select Save.

View changes made to a revenue recognition schedule

Intacct records all user changes to a revenue recognition schedule and displays them in the Change History tab. The tab displays the date the change was made, who made the change, what the action was, and any comments entered regarding the change.
