Sync Projects and Tasks

Intacct provides read-only objects in Salesforce to allow you to track projects.

IntacctProjects sync with Salesforce Projects.

Intacct Tasks sync with Salesforce Tasks.

Both Salesforce objects are custom objects provided by Intacct and are automatically set to sync bidirectionally for new users.

Existing users that want to take advantage of the bidirectional sync option, update your existing field mappings.

How it works: Create Projects and Tasks in Intacct, or in Salesforce, then configure the field mapping in Intacct for Projects and Tasks to sync bidirectionally. Projects and Tasks created or updated in Salesforce sync to Intacct; Projects and Tasks created or updated in Intacct sync to Salesforce.

If you’re a project-based business, you can use Salesforce to create and track projects from an Opportunity. From Salesforce, you can:

  • Create Intacct Projects from Salesforce Opportunities. The Project is then tagged as coming from that specific Opportunity.
  • View project status, percent completed, and progress against tasks in real-time from Intacct, as projects, tasks, and timesheets are updated.
If you have an Intacct Project that serves as a template, specify it as the template to use when creating a Project from a Salesforce Opportunity.

You can also add the Create Project custom button to Order Entry or Contract page layouts, depending on your workflow requirements.

The Projects dimension syncs between Intacct and Salesforce, with or without a subscription to the Projects application.

Enable Project and Task sync

To enable Project and Task synchronization:

  1. Sign in to Intacct as an administrator.

  2. Go to Company > Admin > Subscriptions > Advanced CRM Integration and select Configure.

  3. On the Settings tab, in the Project Integration section, set the following and Save your changes.
    • Enable project and task synchronization: Turns on project and task sync. Clear the checkbox to stop the sync.
    • Create project at top level: When checked, projects are synced at the top level in Intacct, regardless of the value of the Intacct Entity field.
      When the checkbox is cleared, projects are synced at the entity specified in the Intacct Entity field on the project. If the Intacct Entity field is blank, the project record is synced at the top entity in Intacct.
      The default for this setting is off.

Use Projects without a subscription

Project sync has been enabled for all Advanced CRM Integration companies. If you are not subscribed to the Projects application in Intacct, you can still use the Projects dimension with your Advanced CRM Integration. You can turn on Project sync as detailed above to sync Project information with Salesforce.

Only Project information will sync to Salesforce. Task information will not sync. If you are not using the Projects dimension, any associated lists in Salesforce will appear blank.

From a Salesforce Project record, select View Project to open the corresponding Project in Intacct. From an Opportunity record in Salesforce, select Create Project to open Projects in Intacct.
