Go to General Ledger > All > Restriction release > Generate restriction release.
The GL Restriction Release page is separated into sections, each with specific information areas.
- Enter the purpose release parameters.
Purpose release parameters field descriptions Field Description GL posting date Date that the release entry was posted to the general ledger. Release journal The journal where the restriction release will be recorded. You can’t change this journal after the release has been generated. The best practice is to create a dedicated restriction release journal. Your email address This is the email address used to notify you that the release entry is complete. - Enter the revenue parameters.
Revenue parameters field descriptions Field Description Restrict dimension The dimension used for restriction tracking. To ensure consistency, after there are posted entries, you cannot change the dimension selection.
Satisfaction of restriction (GL account) The account used to track the satisfaction of the restriction, meaning the restriction has been met. This cannot be changed after there are posted restriction release transactions. Temporarily restricted designation (Dimension value) The dimension value used for temporarily restricted funds that will be debited by the release entry. Unrestricted designation (Dimension value) This is the dimension value used in the credit to remove the restriction. - Enter the qualified expense information.
Qualified expense information field descriptions Field Description Expense period The period of activity for the release to evaluate for qualified expenses. For example, current month, current year, or prior quarter. Expense group This is the source for the qualified expenses. Reporting book The reporting book in which the qualified expenses will be posted.
Alternate book Any book, such as GAAP, Tax, or a user-defined book, in which additional qualified expenses will be posted. Allocated amounts must be posted in user-defined books.
Funding source dimension The optional dimension used for tracking the funding source. This is typically the dimension used to track grants.
If you use this filter, after saving changes on the generation page, the funding source dimension cannot be changed.
This field is not available if you're working in an organization with multiple base currencies.
Funding source dimension filter If it’s not an entity, this value is optional and can be changed each time a restriction release is generated. This can be a dimension or a dimension group. Use amounts from Select the combination of books in which all qualified expenses will be posted for the calculation of the release amounts.
- Select Generate.
Intacct then takes the information and creates the Restriction Release journal entry. The entry is generated offline, and an email is sent when the entry is complete.
You likely ensure that you stay within budget during the spend cycle. However, as an additional safe-guard, you can configure Spend Management to stop any possible over-release by budgeting unrestricted revenue per funding source.
See the postings
After the release is generated, you’ll see the release log, from which you can drill down to the entry in the journal you selected. If the journal and journal entry require approvals, they can go through the approval cycle.
