Correct approved timesheets
For approved or partially-approved timesheets, you can change your hours from non-billable to billable, add extra hours, or subtract hours. How you correct a timesheet depends on the following:
- Company uses labor costing, and whether labor costing is hourly or salary-based.
- Timesheet has been billed or not.
These instructions apply to My timesheets and Staff timesheets. Timesheets are available with a subscription to Time and Expenses.

Correct approved timesheets not yet billed
If you've submitted a timesheet that's already been approved and posted but not yet billed, you can still correct it. However, how you correct a timesheet depends on whether you are an employee with hourly or salaried-based labor cost.
Hourly-based employees
Use this method if you're an employee with hourly labor costing or no labor costing, and your timesheet has not been billed yet but has been either approved or partially approved. You can enter a net correction of hours on your timesheet in the Time Entries section, first by zeroing out the incorrect hours, and then entering the correct values.

Go to Time > All > Timesheets > My timesheets or Staff timesheets.

Find the timesheet that you want to edit.

Select More actions > Edit at the end of the row.

In the Time entries section, in the next available line, zero out the time entry that you want to change by entering the same entry with a negative value.

On the line below, enter the hours you want.
For example, you want to correct a timesheet to show your hours as billable. If Line 1 has 8 hours of non-billable time, in Line 2 you would enter -8.00 non-billable hours, along with the same information for Project and Task. You would do this for every entry you wanted to zero out and correct. Then, on the next available line, you would enter the corrected value of 8.00 for Monday, and check the Billable checkbox. You would then enter the rest of your information as needed. -
Select Submit.

Go to Time > All > Timesheets > My timesheets or Staff timesheets.

Find the timesheet and select Edit.

In the Time entries section, in the next available line, zero out the time entry that you want to change by entering the same entry with a negative value.

On the line below, enter the hours you want.
For example, you want to correct a timesheet to show your hours as billable. If Line 1 has 8 hours of non-billable time, in Line 2 you would enter -8.00 non-billable hours, along with the same information for Project and Task. You would do this for every entry you wanted to zero out and correct. Then, on the next available line, you would enter the corrected value of 8.00 for Monday, and check the Billable checkbox. You would then enter the rest of your information as needed. -
Select Submit.
Salary-based employees
Use this method if you are an employee with salary-based labor costing and your timesheet has not been billed yet but has been either approved or partially approved. You can duplicate your original timesheet and save it as a draft. Then, you can delete your original timesheet, make corrections on the duplicate, and submit.

Go to Time > All > Timesheets > My timesheets or Staff timesheets.

Find the timesheet that you want to duplicate.

Select More actions > Duplicate at the end of the row.

In the Duplicate Timesheet window, select Yes and No.
Select Yes to clear timesheet details and enter new details or select No to edit existing details. -
Select Draft.

On the Timesheets list, find the original timesheet that you want to delete.

Select More actions > Delete at the end of the row.

Select Delete to confirm.

Find the duplicated timesheet that you want to edit.

Select More actions > Edit at the end of the row.

Make your changes.

Select Submit.

Go to Time > All > Timesheets > My timesheets or Staff timesheets.

Find the timesheet and select Duplicate.

In the Duplicate Timesheet window, select Yes and No.
Select Yes to clear timesheet details and enter new details or select No to edit existing details. -
Select Draft.

On the Timesheets list, find the original timesheet and select its checkbox.

Select Delete.

Find the duplicated timesheet and select Edit.

Make your changes.

Select Submit.
Correct billed or partially billed timesheets
You can correct a billed (or partially billed) timesheet. The process is different depending on whether you have sent the project invoice to the customer.
Unsent invoice:
- Delete the invoice from the Order Entry module.
- When you create a project invoice, it's stored as an order entry transaction. Thereafter, you’ll be using Order Entry pages to edit the invoice and delete the invoice.
- Edit or duplicate your timesheet using one of the above procedures, depending on if you are an hourly or salaried-based labor costing employee.
- Make corrections to the existing or new timesheet and select Submit.
- Run Generate Sales Invoices again to generate the new invoice.
Sent invoice
Make two duplicates of the timesheet that you want to correct. In the first duplicate, zero out the time entry you want to change by entering a negative value. In the second duplicate, enter the correct hours. You'll submit each timesheet.

Go to Time > All > Timesheets > My timesheets or Staff timesheets.

Find the timesheet that you want to duplicate.

Select More actions > Duplicate at the end of the row.
This is your first duplicate. -
In the entries section, zero out the time entry that you want to change by entering the same value with a negative number.

Select Submit.

Find the original timesheet that you want to duplicate.

Select More actions > Duplicate at the end of the row.
This is your second timesheet. -
Enter the correct hours and information.

Select Submit.

Run Generate Sales Invoices again to generate the updated invoice.

Go to Time > All > Timesheets > My timesheets or Staff timesheets.

Find the timesheet and select Duplicate.
This is your first duplicate. -

Correct partially approved timesheets
As an employee, you can view a timesheet that has been partially approved or partially declined. For a partially declined timesheet, you can edit it to correct the issue and then resubmit it for approval.

Go to Time > All > Timesheets > My timesheets.

Find the timesheet that you want to edit.

Select More actions > Edit at the end of the row.
