Set up Copilot Variance Analysis

Copilot Variance Analysis alerts budget owners and finance leaders whenever actual spending exceeds your budget. Copilot notifications are designed to keep budget owners in the loop, whether it’s a timely update or an on-demand review. You can drill into report insights to see exactly how your budget is doing, including detailed breakdowns and visualizations.

Restrictions

Sage Copilot does not currently support companies with multiple base currencies.

The following sections describe the setup tasks required before configuring Copilot Variance Analysis:

Complete the following tasks to set up and configure Copilot Variance Analysis:

Field descriptions

General

Field Description
Budget

The reference budget Copilot compares to actuals to determine variances.

The following are the budget requirements:

  • The budget must be created at the top level.
  • The budget must include all entities that you want to track.
  • The budget cannot be configured as a consolidated budget.
  • The budget should include a budget line for each GL account/budget reporting period/dimension combination that you want to track. If there is no corresponding budget detail, Copilot will assume the budget amount is zero.

Reporting book

Indicates the reporting book to use for actual data when analyzing the variances. If your company's accounting method is Cash and Accrual, select either the Cash or Accrual reporting book.

Otherwise, this field defaults to Accrual or Cash as applicable.

Other books reporting defaults

You can choose to include the following types of reporting books in the variance analysis:

  • User-defined books
  • GAAP adjustment books
  • Tax adjustment books
Combine reporting book with other books

Select this checkbox when:

  • You didn't select any other books
  • You did select other books and want to provide analysis on both the main reporting book and the other books.

Clear this checkbox when you selected other books and only want to provide analysis for the selected other books. This is not common.

Budget insights account groups

Copilot uses these account groups to determine actual data to compare against the budget data.

Select the applicable account group for each category.

  • Net operating income
  • Revenue
  • Cost of revenue (if applicable)
  • Operating expenses

The names of the account groups you want to use for these account groups may differ. The following are the account group requirements:

  • All of the GL accounts in the account groups you want to use must have Account type = Income statement account.
  • The Net operating income account group must contain the same GL accounts that are included in the Revenue, Cost of revenue, and Operating expenses account groups.

Analyze by:

Location or entity

Department

Select the dimensions by which you want Copilot to analyze variance data.

You must select at least one of these checkboxes.

Copilot can analyze your budget by department or by location or entity. While you can choose to analyze by department and also by location or entity, Copilot will not analyze by the intersection of these dimensions. For example, Copilot can analyze expenses for the sales department and it can analyze expenses for the New York location, but it cannot analyze expenses for the sales department in the New York location.

All levels, with roll-up

If you have hierarchies of entities and locations or departments, select this checkbox to roll up actuals and budget amounts to the entity level or the top level of the department hierarchy.

This is necessary for accurate analysis if, for example, you enter budget amounts at the entity level but your actuals are generated at the location level.

Location or entity financial report

Department financial report

Select a financial report for each dimension that you selected. Users will be able to launch the report directly from Copilot to investigate details on a reported variance. The financial reports must include the following:

  • Budget vs. actuals for the current YTD or current fiscal YTD
  • Budget vs. actuals for the prior YTD or prior fiscal YTD

If you already have a financial report that shows budget variances by the location or entity or the department, select that report in the applicable dropdown list.

If you don't already have a report, and your company was created using a QuickStart template, you can install one the Variance analysis reports from the QuickStart library.

Notifications

Notification channels  
Copilot panel

Indicates that notifications will be visible in the Insight pane of the Copilot panel in Sage Intacct.

You cannot turn off notifications for the Copilot panel as insight notifications are part of the Copilot framework..

Email

Indicates that email notifications will be sent to the applicable dimension managers and unrestricted users.

Notify whom  
Department managers

If you selected to analyze by Department, select Department managers.

Ensure that each applicable department record has a manager assigned to it.

Location or entity managers

If you selected to analyze by Location or entity, select Location or entity managers.

Ensure that each applicable location or entity record has a manager assigned to it.

Unrestricted user

An unrestricted user is a finance leader whom you designate to have access to budget and actual information for the entire organization, like a controller. Copilot will send variance analysis notifications to this user.

Select this field if your organization will only have one unrestricted user and then use the dropdown list to select the applicable user.

An unrestricted user must have User type = Employee or Business and cannot have any department, location, or entity restrictions.

Unrestricted user group

You can specify a group of unrestricted users to which Copilot will send notifications. Unrestricted users will have access to all budget and actual information for your organization. A user who is restricted by departments or locations cannot be a member of the unrestricted user group. Follow your internal business processes to determine who should have access to this data.

Select this field if your organization will have more than one unrestricted user and then use the dropdown list to select the applicable user group.

Notify when  
Operating expense actuals exceed budget

Select this checkbox to have Copilot send notifications when the YTD actual expenses for the account group specified as the Operating expenses account group exceed YTD budget.

Frequency

Indicates how often Copilot will generate insights and send notifications. Options are:

  • Daily—Copilot runs the analysis nightly and sends notifications after 12:00 AM PT.
  • Weekly—Copilot runs analysis and sends any applicable notification after 12:00 AM PT on Mondays.
  • End of month—Copilot runs the analysis and sends any applicable notifications after 12:00 AM PT on the first day of the following month. For example, if May 31 is the last day of the month, Copilots sends the notification on June 1.
Email template to unrestricted users

Select an existing email or select Add in the dropdown list to create a new template.

Select Draft with Copilot if you'd like help editing the message.

Select an existing email or select Add in the dropdown list to create a new template.
